From the Chair-
Whoa! June 8th already! The deadlines are upon us. There’s still time to enter the race without late fees but you need to be hasty as late registration expires next week, June 15th at 23:59 hours. Should anyone wish to register after June 15th, it’s still possible but it will be at the race committee’s discretion and a special processing fee of $300 will be added to your entry fee. So, get those entries in if you haven’t already done so.
If you haven’t paid your entry fees yet, it’s the same deal – entry fees need to be paid by June 15th to avoid the $300 special processing fee. If you’re a BYC member and you wish to pay via your BYC member account, please remember that in accordance with NOR 7 (b), a 3% surcharge will be added to the entry fee. ‘Why’ (if you’re a BYC member), you ask, ‘is there an additional fee after April 30th if I wish to use my member account?’ Here’s the answer: Believe it or not, sponsorship funding does not pay all the expenses incurred to run an event of the Race’s size and nature. Most of the expenses must be paid pre-race. When you use your member account to pay your entry fee, that money is a minimum of 45 days away from accessibility for vendor payments that may be due today. We accept cash, check, credit cards (American Express, Visa, Mastercard) and Paypal so please, if you haven’t yet paid your entry fee, don’t hesitate to do so much longer.
Insurance certificates should be uploaded as soon as possible (unless you’ve already done so), making sure that what you’re uploading is current. If your boat insurance expires between this date and race date (July 22), upload what you have currently, then upload the new policy as soon as you have it. On the administration side of the website, I’m not approving those insurance certificates now merely as a reminder to me that I may need to follow up with you. Any outstanding insurance issues will be resolved prior to the start of registration at Bayview on July 20th.
Rating certificates have been coming in nicely. Just a reminder that the latest date a rating certificate can be issued is June 30th, 2017. If you’ve submitted anything other than an ORR or ORR-EZ certificate to me, you still have time to apply for the ORR/ORR-EZ certificates. ORR and ORR-EZ rating certificates are the official rating certificates of the Race and nothing else will be accepted. Should extenuating circumstances arise, the race committee may extend the deadline for you at their discretion. However, for discretion to be extended, what I expect from you is communication. If you’re having trouble with a rating certificate, please let me know. There will be absolutely no discretion extended if you don’t ‘talk’ to me.
Signatures on the rating certificates are required by ORR and ORR-EZ Rules. The signature areas for either certificate is near the upper left-hand box. For those who have submitted unsigned rating certificates, I’ve already sent you an email asking for your signature. If you haven’t yet complied with the signature request, your rating certificate is remaining open (or unaccepted), until I receive the signed rating certificate.
Finally, I’m sorry for reiterating the same information as in my previous emails. The details are just so important for registration and the race to run smoothly. I appreciate the time you all spend on getting your entries correct and if you have questions or concerns, never hesitate to contact me. I promise that the next message will be less repetitive and hopefully more fun!
